This Privacy Policy explains how InsuredBoard ("we", "us", "our") collects, uses, and protects information when you use our website and insurance management platform (the "Service").

InsuredBoard is built for insurance brokers and agents. Trust in how we handle client and policy data is central to our product. Please read this policy carefully, especially Section 4 (Ownership) and Section 5 (We do not sell your data).

1. Information we collect

Account information

When you register, we collect your name, email address, phone number, and business details you provide (such as agency name and address).

Client and policy data

You may store customer records, policy details, KYC documents, and other business data in the Service. This data belongs to you. We process it only on your behalf to provide the Service — not for our own commercial marketing or resale.

Usage and technical data

We collect standard log data such as IP address, browser type, device information, and pages visited to maintain security and improve the Service.

2. How we use your information

We use information only for these purposes:

  • To provide, operate, and maintain the Service
  • To authenticate users and secure accounts
  • To send service-related communications (e.g. OTP, password reset)
  • To respond to support requests and contact form enquiries
  • To improve features, performance, and reliability of the Service
  • To comply with applicable legal obligations

We do not use your client or policy data to build advertising profiles, sell leads, train third-party AI products for sale, or create products for other customers from your confidential business data.

3. Document storage

KYC files, policy documents, and business logos you upload are stored in private, access-controlled storage. Only authorised users within your agency account can access your uploaded files.

4. Ownership of client and business data

You retain all rights, title, and interest in the customer, policy, document, and other business data you enter into or upload to the Service ("Client Data").

  • Client Data is yours. We do not claim ownership of your clients, policies, or documents.
  • We act as a service provider / data processor for Client Data: we host and process it solely to deliver the Service to your account.
  • You decide who in your agency may access Client Data (subject to the roles and permissions available in the Service).

5. We do not sell your data

We do not sell, rent, lease, trade, or otherwise commercially disclose your personal information or Client Data to third parties for money or other valuable consideration.

In plain terms, that means we will not:

  • Sell your client lists, phone numbers, or policy details
  • Rent or share Client Data with insurers, aggregators, or marketers for their commercial use
  • Use Client Data as a product we monetise separately from your subscription
  • Transfer Client Data to data brokers or lead-generation companies

Our business model is subscription software. We earn revenue from plan fees you pay for the Service — not from selling your or your clients' information.

What "sharing" is allowed (and what it is not)

We may share information only in the limited cases below. This is not a sale of data:

  • Infrastructure providers — trusted vendors needed to run the Service (for example hosting, storage, email/SMS delivery), under confidentiality and data-protection obligations, and only to perform services for us on your behalf.
  • Your instructions — when you or your authorised users use features that send data (for example reminders or exports you initiate).
  • Legal requirement — when we are required to disclose information by law, regulation, court order, or lawful government request. Where legally permitted, we will notify you.
  • Business transfers — if InsuredBoard is involved in a merger, acquisition, or asset sale, Client Data may transfer as part of that transaction under continued confidentiality obligations. We will not treat such a transfer as permission to start selling Client Data.

6. Written assurance and Data Processing Agreement

If you need stronger contractual comfort (for example for your agency, principal, or compliance review), you may request:

  • A written data-assurance confirmation that we do not sell Client Data
  • A separate Data Processing Agreement (DPA) / data-protection addendum that contractually locks no-sale, purpose limitation, subprocessors, retention, and deletion terms

7. Data retention and deletion

We retain account and business data while your subscription is active. If you close your account, we will delete or anonymise your data within a reasonable period, except where retention is required by law (for example billing or dispute records).

You may request export or deletion of your personal data and Client Data by emailing hello@insuredboard.com. We will respond within a reasonable time.

8. Security

We use industry-standard measures including encrypted connections (HTTPS), access controls, and secure authentication to protect your information. No method of transmission over the internet is 100% secure; we work continuously to safeguard your data.

9. Cookies

We use essential cookies for authentication and session management. These are required for the Service to function. We do not use third-party advertising cookies, and we do not sell cookie data.

10. Your rights

Depending on applicable law (including applicable Indian data-protection rules), you may request access to, correction of, or deletion of your personal data, and information about how we process it. Contact us at hello@insuredboard.com to make a request.

11. Children

The Service is intended for business users and is not directed at children under 18 years of age.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page with an updated date. Material changes to how we handle Client Data (including any change to our no-sale commitment) will be communicated clearly; we will not quietly start selling Client Data.
